Client Won't Pay? A Step-by-Step Collection Playbook

It happens to every freelancer eventually: the work is delivered, the invoice is sent, and the money just… doesn't arrive. How you respond decides whether you get paid in weeks, in months, or never. This is the playbook — in order.
Step 1: Verify the work is truly delivered
Before escalating, confirm there's nothing blocking payment on your side — deliverables delivered, final files sent, invoice accurate. If a client can point to a missing deliverable, your 'late payment' is actually an unmet condition. Fix that first.
Step 2: Send a friendly nudge immediately
Contact them the day after the due date. Most non-payment is forgetfulness, and a same-day nudge catches it before it becomes a pattern. Keep it warm, include the invoice and a payment link, and assume the best.
Step 3: Offer a payment plan
If a client replies that they can't pay in full, don't go silent — negotiate. A partial payment now plus a schedule for the rest keeps cash flowing and shows good faith on both sides. Confirm the schedule in writing and stick to your follow-up dates.
Step 4: Escalate formally — late fees and firm reminders
At 14–30 days overdue, switch from friendly to formal. Reference the agreed terms, apply the late fee from your contract, and give a firm deadline. The goal isn't to punish the client — it's to make the cost of silence higher than the cost of paying.
Step 5: The final demand, then legal options
After 30–60 days, send a final demand with a hard deadline and clearly stated next steps. Beyond that, weigh the amount against the cost of a collection agency or small-claims filing. Sometimes the best business decision is a final write-off and a lesson in onboarding terms.
