A final demand letter is the professional escalation before legal action. It's not aggressive — it's clear. It states what's owed, by when it must be paid, and what happens if it isn't. Done right, it resolves the majority of cases without a lawyer ever getting involved.
When to send it
Send it after your standard reminders (typically 30–60 days overdue) and before any collection agency or small-claims filing. By this point the client has had every chance to respond — the demand letter is the formal record that you're done waiting.
What it must include
- The invoice number, issue date, original amount, and any accrued late fees.
- The total now due, broken down so there's nothing to dispute.
- A hard deadline — usually 7–14 days from the date of the letter.
- The stated consequence — referral to a collection agency, small-claims filing, or both.
- Every payment option you'll accept, including the payment link.

If payment or a payment plan arrives, great — confirm it in writing and close the file. If the deadline passes with no response, follow through on what you said.
